Refund Policy
Last updated: January 15, 2025
Overview
This Refund Policy explains the terms governing refunds, cancellations, billing disputes, and related payment matters for services offered by Edulume School ("Edulume," "we," "us," or "our"). This Policy applies to subscriptions, recurring plans, one-time purchases, institutional licenses, premium feature access, and other paid services made available through our website, applications, or directly through our sales and support teams.
By purchasing any paid service from Edulume, you acknowledge that you have read and agree to this Refund Policy in addition to our Terms of Service. Certain institutional, enterprise, or custom contract arrangements may be governed by separate written agreements, in which case those agreements will control to the extent of any inconsistency.
General Refund Policy
Except where otherwise required by applicable law or expressly stated in a separate written agreement, payments made to Edulume are non-refundable once access to the applicable digital service, subscription period, premium feature, or licensed learning environment has been granted.
Because Edulume provides access to digital educational services, gamified platform features, analytics tools, and associated online functionality immediately upon activation or shortly after purchase, we generally do not provide refunds for partial use, dissatisfaction based on personal preference, unused time remaining in a billing cycle, or failure to cancel before renewal.
Subscription Cancellations
You may cancel a recurring subscription at any time before the next billing date. When a subscription is canceled, access to paid features will typically remain active through the end of the current paid billing period, unless otherwise stated during checkout or in your account terms. Cancellation prevents future renewals but does not retroactively reverse previously processed charges.
It is your responsibility to manage your subscription status and submit cancellation requests before the renewal date. We are not responsible for refunding charges resulting from a failure to cancel on time, forgetting about an active subscription, lack of platform usage, or account inactivity during an active billing cycle.
Free Trials and Promotional Access
If Edulume offers a free trial, introductory period, promotional access window, or discounted onboarding term, the specific conditions of that offer will be presented at the time of sign-up. Unless expressly stated otherwise, once the free or discounted access period expires, the subscription or service may automatically convert into a paid plan and the applicable payment method may be charged.
To avoid charges following a free trial or promotional period, you must cancel before the applicable conversion or renewal date. Charges incurred after a trial or promotional term has ended are generally non-refundable unless required by law.
Refund Exceptions
Although refunds are generally not provided, Edulume may, in its sole discretion, review and approve limited refund requests in exceptional circumstances, including but not limited to:
- Duplicate charges caused by a billing or technical processing error
- Incorrect charges resulting from a verified system malfunction
- Unauthorized transactions that are substantiated after reasonable review
- Situations where required by applicable consumer protection law
Approval of any exception does not create an obligation to issue refunds in future cases. Each request is assessed individually based on billing records, account usage, service activation history, timing of the request, and any applicable legal requirements.
Institutional and Enterprise Purchases
Subscriptions, licenses, onboarding packages, implementation services, or access arrangements purchased by schools, organizations, employers, training providers, or enterprise customers may be subject to separate pricing schedules, invoicing terms, contract renewal clauses, and refund or termination provisions set forth in an executed agreement.
Unless a separate agreement expressly provides otherwise, institutional and enterprise payments are non-refundable once access, configuration work, account provisioning, onboarding, content deployment, or implementation has begun.
Chargebacks and Payment Disputes
If you believe a charge was made in error, we strongly encourage you to contact Edulume before initiating a chargeback or payment dispute with your bank or card issuer. This allows us to review the matter, investigate transaction records, and attempt to resolve the issue more efficiently.
Filing a fraudulent or unjustified chargeback may result in suspension or termination of your account, restriction of future purchases, and submission of supporting documentation to the payment processor or financial institution handling the dispute. We reserve the right to contest chargebacks where valid services were provided.
How to Request a Refund Review
To request review of a charge, you must contact us and provide sufficient information to identify the transaction and explain the basis of your request. Refund inquiries should include, where available:
- The full name associated with the account
- The billing email address used for the purchase
- The date and amount of the transaction
- The last four digits of the payment method, if applicable
- A detailed explanation of the issue
Requests should be submitted within a reasonable time after the charge appears. Delayed inquiries may reduce our ability to investigate the issue and may affect the outcome of the review.
Processing of Approved Refunds
If a refund is approved, it will generally be issued to the original payment method used for the transaction, unless otherwise required by law or operational necessity. Processing times may vary depending on the payment provider, card network, issuing bank, or financial institution.
Edulume is not responsible for delays caused by third-party payment processors, banks, or card issuers after a refund has been initiated. Any taxes, foreign exchange adjustments, or intermediary banking fees may be handled according to the policies of the relevant payment provider.
Non-Refundable Items and Services
Unless required by law or expressly approved by Edulume in writing, the following are generally non-refundable:
- Completed billing periods for active subscriptions
- Partially used plans, services, or premium access periods
- Downloaded or accessed digital materials and learning resources
- Setup, onboarding, migration, or administrative configuration services once commenced
- Custom institutional arrangements, reserved implementation slots, and contracted service blocks
- Fees paid through third-party platforms, subject to their independent billing rules
Policy Changes
We may update this Refund Policy from time to time to reflect changes in our services, billing structure, legal obligations, or operational practices. Updated versions will become effective when posted unless a different effective date is stated.
Your continued purchase or use of paid services after a revised Refund Policy becomes effective constitutes your acceptance of the updated terms, to the extent permitted by law.
